If you use Google Calendar through your work, school, or other organization, you'll see the option to "Share this calendar with everyone in the organization."
How this setting works
- People in your organization can find your calendar.
- People outside your organization won't be able to see your calendar.
- If you invite someone outside your organization to a meeting, they can see information about the meeting.
In order to make your calendar available to users and enable them to see your availability when scheduling meetings, you will have to enable the following setting:
- Go to Google Calendar, click the gear icon, click Settings.
- Click on the Calendars tab up top.
- Under My Calendars, locate your calendar. Under Sharing, click Shared Settings.
- Check the box that reads Share this calendar with others.
- Next check the box that reads Share this calendar with everyone in the organization. Your options will be as follows;
- See all event details: People in your organization can see the details of your calendar events unless you mark them as private.
- See only free/busy (hide details): People in your organization can see when your time is booked or free, but they can’t see names or details of your events.
- From the drop down, select (See only free/busy (hide details)). Click Save. See screenshot below.
